aOS · Security & governance

Control and visibility over every bid.

Your bids hold prices, CVs and client names, and a dozen people work on them, with an AI alongside. SEQUESTO lets you decide who sees what, control what James may do, see who did what, and know how every bid is going.

Most tools leave governance to e-mail, shared drives and trust. SEQUESTO builds it into the bid itself, on certified security.

01 · TEAM EFFORT

Why governance is a bid manager's problem

A bid is a team effort under pressure.

  • Finance owns the price. HR owns the CVs. Ten experts write sections, and an AI drafts alongside them.

  • Two days before the deadline, someone needs to know who changed the price table, whether every section is in, and that the sales lead never saw the margin sheet.

  • Most tools leave that to e-mail, shared drives and trust. SEQUESTO builds it into the bid itself.

Why governance is a bid manager's problem

Before / With SEQUESTO

Before

  • Everyone on the bid sees everything, or the price lives in a separate file "for safety"
  • The AI reads whatever is in the project
  • "Who changed this?" asked in the team chat
  • A wrong edit means starting again
  • Status of all bids rebuilt in Excel every Monday

With SEQUESTO

  • Access per project, folder, document and question, by person or team
  • James only reads what the person asking may read
  • Every action on record, with the person and the time
  • Restore any earlier version
  • Reports on every bid, always current

02 · ACCESS

Who sees what

Decide access per project, per folder and per file, in the Knowledge Hub and on reports.

  • Give access to a person, a team or the whole company, as view or edit.

  • Folders pass their access down, so you set it once: a new file in "Pricing" is as protected as the folder.

  • When someone joins Finance, they see the price sheets the day they join. When they leave, their access goes with them.

  • The same access applies to James, as the next section explains. See who sees and edits what.

Who sees what

03 · DELEGATION

What James may do

James inherits the rights of the person who asks. Every time someone asks James for something, SEQUESTO checks what that person may see. James gets exactly that access, and nothing more: the files he reads, the Knowledge Hub documents he searches and the colleagues he involves are all limited to what that person could open themselves. So when someone outside Finance asks for the price, James can't reach the "Pricing" folder either.

This is checked by SEQUESTO on every request. It isn't left to James to remember, and nobody has to configure it for the AI separately: set access once for your people, and James follows it.

  • On top of that, James works within guardrails on every task:

He uses the files you give him, and asks when the answer isn't there.

  • He changes nothing unless someone asked him to. Ask him to check, and he only checks.

  • Company, persona, project and personal rules apply to everything he writes. Company rules win.

  • He checks his work against what it had to cover before calling it complete.

See guardrails and James, your AI bid agent.

What James may do

04 · ACCOUNTABILITY

Who did what

Every file created, renamed, moved, shared or deleted, every comment, every access change and every field update is on record, with the person who did it and when.

  • When James acts for someone, the record shows who asked.

  • Admins filter by person, action and date.

  • You also see who works on which bid and how much time each person spends on it, so effort and workload are facts, not guesses. See who did what.

Who did what

05 · VERSIONING

Nothing is lost

Every document keeps its version history.

  • Open an earlier version, compare it, restore it.

  • That holds for edits by colleagues and by James.

Nothing is lost

06 · REPORTING

How every bid is going

Reports on your own fields show the state of every bid: deadlines in the next 30 days, bids by stage, workload per bid manager, win rate by number and by value. You build them in SEQUESTO, they keep themselves current, and they click through to the bids behind every number. See your reports, in your format.

07 · CERTIFICATION

Certified security underneath

All of this sits on certified security. SEQUESTO is ISO 27001 and SOC 2 Type II certified, audited by independent auditors. So when your IT or procurement team asks whether your bids are safe with us, the answer is already there. They'll find the details in the trust centre.

08 · OFFSHORE TENDER

An example: an offshore maintenance tender in Denmark

A wind-energy services company answers a Danish tender for offshore turbine maintenance. Fifteen people contribute.

  • The "Pricing" folder is open to Finance and the bid director only. James can't use it when he drafts for anyone else.

  • The technical sections are assigned to six engineers, who see their own questions on their personal dashboard.

  • Three days before the deadline, a unit price looks wrong. The bid director filters the record on the price file: Finance updated it yesterday at 17:40, on purpose. No e-mail thread needed.

  • A section overwritten by mistake is restored from its version history in a click.

  • On Monday morning, the bids report shows this tender at "Final review", with two open items, next to the five other tenders due this month.

09 · WORKFLOW

How it works

  • Set access once, by team and folder. Files inherit it.

  • Set them at company level. They apply to every bid and to James.

  • Every action is recorded as it happens.

  • The record, the activity per person, the version history and the reports.

You decide who sees what they need

Give each person and each team exactly the access they need: to a project, a folder inside it, a single document or even a single question, a Knowledge Hub document or a dashboard. View or edit, nothing more. James, SEQUESTO's AI bid agent, follows the same rules.

Guardrails

You direct the bid and James, SEQUESTO's AI bid agent, does the work: summaries, drafts, contracts, presentations, forms, task assignments and follow-ups. Whatever the task, the same guardrails decide what he may read, what he may change, who he may involve, and when he may say "done".
